Track sales enquiries without installing a CRM too early

A shop asks for your trade terms, a customer needs a clarification and another enquiry sits in an inbox. Before choosing software, identify what needs a reply, from whom and by when.

Start with a real enquiry

Take a recent enquiry and trace receipt, required reply, decision and outcome. Fictional example: a shop requests terms for three items, but availability is missing. The next action is to confirm availability, not automatically chase the buyer.

Decide who replies and when

Give each enquiry an owner, a status, a next action and a date. “Waiting” is not enough: identify the missing information and who can confirm it. The owner retains decisions on prices, commitments and sent replies.

Choose the minimum tools

Email and a shared table may be enough if they keep conversations and deadlines accessible. A CRM becomes useful when several people contribute, volume makes follow-up fragile or tools need connecting. Software alone does not define responsibilities or handling rules.

Test before automating

Test receipt, a duplicate, assignment, an overdue action and closure. Check access and data recovery. Automation is useful only when the rule is stable and someone can see and recover errors. A fictional example does not authorise automatic messages.

Know when the enquiry is complete

Record the outcome: answered, proposal accepted or declined, need abandoned or referred elsewhere. A closed enquiry is not necessarily a sale. Separate internal tests from business enquiries and unknown sources from observed origins.
